8billionideas | Revised September 2024
Purpose
This policy outlines the procedures for handling sickness during the school holiday camp, including guidelines for cancellations and refunds.
Policy Statement
The health and safety of all participants is our top priority. We encourage parents to monitor their child’s health before attending camp. In the event of illness, we have established clear procedures for cancellations and refunds.
Definitions
- Illness: Any condition that prevents a child from participating in camp activities, including but not limited to contagious diseases, flu, colds, and other medical conditions.
Notification of Sickness
- Parents must notify camp staff as soon as possible if their child is sick and unable to attend. Refund will not be considered without prior notification.
- Notification can be made via email [email protected]
Refund Policy
- Cancellation Due to Sickness (Before Camp Starts):
- If a child is unable to attend due to illness and the parent notifies the camp at least 7 days prior to the start date, a full refund will be issued.
- If notification is given 3-6 days prior to the start date, a 25% refund will be provided.
- No refunds will be issued for cancellations made less than 3 days before the start date.
- Cancellation Due to Sickness (During Camp):
- If a child becomes ill during the camp, parents will be notified immediately. If the child must leave the camp due to illness, the following refund policy applies:
- For 1 - 2 days of attendance: 25% refund for the remaining days.
- No refund will be provided after attending 3 or more days.
- Visible Sickness:
- If a child is visibly sick (e.g., vomits), they must be picked up immediately and cannot return to the camp for 48 hours from the time of illness. A refund will be processed according to the above cancellation policy.
- Special Circumstances:
- In cases of serious illness or medical emergencies, a written request for a refund may be submitted. Each request will be reviewed on a case-by-case basis.
Health and Safety Protocols
- Parents are encouraged to keep sick children at home to prevent the spread of illness.
- The camp reserves the right to send home any child displaying symptoms of illness.
